What we collect when you apply, why, where it is stored, how long we keep it, and what you can ask us to do with it.
Nova AI Club, a student club at Nova SBE in Lisbon, decides how your details are used. The club is not a registered association, so its founding team is responsible for this intake, with Lukas Hager von Strobele as the contact.

When you apply on /join: your name, email, programme, your answers to the department questions, whether you can join the field trip, the link to your video, and your CV if you add one.
Please leave out of your CV anything we do not need, such as a photo, date of birth, or health information.
When you visit the site: Vercel Web Analytics counts page views without cookies and without storing your IP address. When you submit the form, your IP address is held briefly in memory to stop repeated submissions and is not saved.
We use your application to review it and contact you about this intake, nothing else. We do this with your consent, which you give with the checkbox on the form (GDPR Article 6(1)(a)). You can withdraw it at any time; we then delete your application.
A person on the team reads every application and makes the decision. We do not make decisions about you by automated means alone.
Only the people reviewing this intake, through a private review page. We do not publish applications or share them with companies, sponsors, or other students.
Two hosting providers store the data for us under their data processing terms: Cloudflare (R2 storage, EU jurisdiction) and Vercel (the website, the form's server code in Frankfurt, and a backup copy in Vercel Blob). Both are US companies, so their data processing terms include the safeguards the GDPR requires for transfers outside the EU.
Your video stays on the platform you chose, under that platform's own terms. We only store the link.
We delete applications and CVs, including the backup copy, three months after this intake's decisions are sent. If you join the club, we keep your name, email, and programme while you are a member and delete them within three months after you leave.
You can ask us to see, correct, or delete your details, to restrict or object to how we use them, or to send them to you in a portable format. Email admin@nova-ai-club.com and we will reply within one month.
If you think we have handled your details badly, you can complain to the Portuguese data protection authority, the CNPD (opens in a new tab).
